Your business records stay in your vault.

Vendor Vault is built for local inventory and consignment management. Your stock, sales and supplier records remain on your Android device unless you export them or enable backups to a folder you choose.

Overview

Vendor Vault is provided by Protus App Dev (“we”, “us” or “our”). This policy explains how the Vendor Vault Android app handles information and applies to the app and its related support.

At a glance

Every feature is free, supported by banner ads. You can use the app without creating an account or signing in. Business records stay on your device unless you export or share them. Google AdMob processes advertising data; Firebase processes diagnostics and basic usage information.

Data kept on your device

The app may store the information you enter locally, including:

  • products, variants, stock receipts, stock corrections, costs and prices;
  • supplier names and contact details;
  • sales, refunds, seller and purchaser names;
  • supplier payments, payment reversals, balances and month-closing records;
  • business settings and a logo you choose; and
  • local reports and automatic backup files.

This business information is used only to provide the app’s inventory, sales, reporting, backup and reminder features. Android cloud backup and device-transfer backup are disabled.

Diagnostics and analytics

Vendor Vault uses Firebase Crashlytics and Google Analytics for Firebase to understand reliability and basic app usage. Depending on the build and service configuration, Google may process:

  • crash logs, stack traces and technical diagnostics;
  • app version, device model, operating-system information and timestamps;
  • session, screen-view, first-open and similar app-interaction events; and
  • Firebase installation, app-instance and crash-report identifiers.

We do not send inventory, supplier, purchaser, seller, payment or backup contents to Firebase. We do not set a user ID in analytics or crash reports. Firebase advertising storage and personalisation are disabled; AdMob advertising is described separately below. Firebase transmits diagnostics using HTTPS and may process them on Google’s global infrastructure.

Free app and banner advertising

Vendor Vault 1.11.0 and later provides every inventory feature free, supported by banner advertising. Google AdMob displays a banner above each app screen. Editing and viewing work without internet and when an ad is unavailable. Ads do not unlock features.

AdMob may process your IP address (which can indicate approximate location), app and ad interactions, performance diagnostics, advertising ID, app-set ID and, where applicable, other device or on-device account identifiers. Google uses this information for advertising, measurement and fraud prevention and encrypts it in transit. We do not provide your inventory, business contacts, sales, payment ledger or backup contents to AdMob. The app does not request precise location permission.

We request non-personalised ads. These can still use identifiers and storage for delivery, measurement and fraud prevention. Where required, Google’s consent form asks about advertising data use; you can revisit available choices through Manage > Ad privacy choices. Advertising choices never restrict inventory access. Test builds use Google’s test advertisements. Advertising privacy forms and available choices depend on your region and the ad configuration in your installed version.

Permissions, files and sharing

  • Notifications: optional permission used for locally generated low-stock and off-device backup reminders. It can be disabled without removing in-app warnings.
  • Files and images: Android’s system pickers let you choose a logo, a JSON backup to restore, or a shared backup folder. The app receives access to the selected files or folder. When you enable automatic backups, verified copies are saved after a short delay following changes and when you reopen the app. A chosen cloud-storage folder may upload those copies through its provider.
  • Exports and sharing: when you export a backup or share it through an email or storage app, you choose the destination. Backups can contain the business and contact information you entered. The receiving provider’s privacy policy applies.
  • Internet and network state: used for banner ads, advertising privacy choices, Firebase diagnostics and analytics. Inventory is stored locally and editing does not require internet.

Retention and deletion

Local app data remains on your device until changed by an app operation, replaced by a backup restore, or removed by clearing app storage or uninstalling Vendor Vault. Stock corrections and payment reversals retain the original transaction and an audit entry. Uninstalling removes private app backups. Copies in a shared folder or exported elsewhere remain there. When automatic backups are enabled, Vendor Vault keeps up to 10 copies created by the current installation, prioritising daily recovery points; it does not automatically remove copies inherited from an earlier installation. Keep a separate off-device copy for recovery after device loss.

Information held by service providers from earlier versions is not deleted by updating or uninstalling the app. Contact protusappdev@gmail.com to request deletion of an earlier Vendor Vault account or personal information processed on our behalf. Provider retention policies and applicable legal requirements apply.

Service providers and international processing

We use Google AdMob for advertising and Google Firebase for diagnostics and analytics. Google may process information outside South Africa under its safeguards and terms. Information from earlier versions may remain with their service providers as described above. Email, storage or sharing providers you select act under their own terms.

Your choices and rights

You can disable notifications or automatic backups, choose where backups are saved, avoid optional exports, clear local app data, uninstall the app, and revisit advertising privacy choices when available. Android settings also provide advertising ID controls. Depending on applicable law, you may also ask us about personal information linked to diagnostics or support communications, or request access, correction or deletion where we can reasonably identify it.

Vendor Vault is a business-management tool and is not directed to children under 13. We may update this policy when the app, service providers or legal requirements change. Material changes will be reflected by a new effective date.

Contact us

If you contact us, we receive your email address and the message or attachments you choose to send. We use these to respond to your question, investigate a reported problem or handle your privacy request. Only include business records when needed to explain your request. We retain support correspondence for as long as needed to handle the request, resolve related issues and meet applicable legal obligations.
